We would like to have the following report in the EBMS:

Total number of citations for each journal in EBMS,
Number of citations that have NCI Reviewer Decision YES
Number of citations that have NCI Reviewer Decision NO
We should be able to generate report for each Editorial Board as well.
Label journals already on NOT lists, note: the report should show all journals as some of the journals might have moved back and forth in the NOT journals list.

I am attaching the spreadsheet that was generated in old system—CMS for your understanding.

After discussing this issue with the other Board managers, we've come up with the following expanded requirements:

1. Since this report will not be used often (we anticipate maybe 1x/year), we would like it to be a "one-time" report that could be generated on an as-needed basis by the programmers. It does not need to be in our menus and have its own interface.

2. The report should consist of two separate Excel workbooks:

  • a workbook including a list of journals currently on the NOT list for each Board (a separate sheet for each Board)

  • a workbook including a list of journals that are NOT on the NOT list for each Board (a separate sheet for each Board)

3. The following columns should be added to each spreadsheet (same for both workbooks) in this order, left to right:

  • Journal Title (Full title)

  • Total (Total number of citations for each journal in EBMS for that Board)

  • Abstract Yes (Number of citations that have NCI Reviewer Decision YES for that Board)

  • Abstract No (Number of citations that have NCI Reviewer Decision NO for that Board)

  • Full-text Yes (Number of citations that have Full-Text Decision YES for that Board)

  • Full-Text No (Number of citations that have Full-Text Decision NOfor that Board)

  • Ed Board Yes (Number of citations that have any of the following Ed Board Decisions: CITED (CITATION ONLY); CITED (LEGACY); TEXT APPROVED; TEXT NEEDS TO BE WRITTEN; TEXT NEEDS TO BE REVISED; or HOLD for that Board)

  • Ed Board No (Number of citations that have Ed Board Decision NOT CITED for that Board)

4. The spreadsheets should be sorted alphabetically by Journal title.

Minaxi/Cynthia, hopefully you are okay with these additions. The extra columns can always be hidden, but we thought they would be useful in determining which journals could be added to or removed from the NOT list. Please let us know if you have any additional requirements/changes. Thanks.

Minaxi will be back on Monday so lets give her a chance to see them as well. My only suggestion is that because these will be very long and require lots of scrolling to go through...can we have the column headers follow along as we scroll so we wont have to remember which column is which.

Cynthia, you can keep the top row visible as you scroll by going to the View Tab - Freeze Panes - Freeze Top Row.

The reports look good. I wonder if it is possible to eliminate the journal titles from the report that has zero citations in the Total column. I see more of these in Adult Board list. Other Boards have just a few of them.

Please also provide a second version of each of the workbooks in #2 above that eliminates the journal titles from the report that have zero citations in the Total column.

 

: I started adding two more workbooks as requested to drop rows for journal titles with zero in the Total column, and the changes to the code I was coming up with didn't make sense. Then I realized that the elimination of those rows was already requested and implemented for the existing workbooks, as requested by Minaxi on 2015-08-24. So I guess we don't need four workbooks after all, right?

Also, is the gap which will be introduced by the dates in the requirement below intentional?

It's helpful to see the rows that have zero citations - it tells us that either 1) for journals on the NOT list: having that journal on the NOT list isn't saving us any time and our searches aren't picking up literature in that journal; or 2) for journal not on the NOT list: we could potentially put the journal on the NOT list because we aren't getting any articles from it. I actually find the version without the zero articles removed more useful. But I realize that for some Boards there is quite a long list (Adult for example). So, ideally, it would be good to have four versions of the spreadsheet if it isn't too much trouble.

OK, I've added the four new workbooks with the date cutoff. Take a close look, reality-checking a couple of items if that's feasible, as the changes were significant. Looking at the not_not_listed_full.xls report, it's hard to see how it would be useful with all those seas of zeros, but not my call. 🙂

I'm closing this ticket, but just wanted to document a couple of recent decisions.

We've decided to keep this as an ad-hoc report run by Bob for now, given that we only plan to run it 1-2 times/year. We may add it to the EBMS in the future, if we determine that it's something we'd like to run more regularly.

We also found the not_not_listed_zero articles removed report to be the most useful, so we may ask for just that version of the report the next time (but it's fine if the script is set up to generate all of them).

Hi , we've decided it's time to run this ad-hoc report again. As I explained in my last comment, the version most useful to us is the not_not_listed_zero articles removed spreadsheet as this shows us included journals that have contained at least one article for each of our respective Boards during the given time period. It's fine if the script automatically generates all four spreadsheets, but this is the only one we need.

 

Please run this for 2019/06/01 through 2020/07/01. Let me know if you need anything else. Thanks!

oceebms-301.xlsx has the new report of journals containing at least one article imported between June 2019 and the first of this month and making it into the pipeline for each of the respective boards.
